A2Flows (“A2Flows,” “we,” “us,” or “our”) is a field-service and construction-management software platform operated by Chafa LLC. We provide tools that plumbing and contracting businesses use to manage scheduling, dispatching, estimates, invoices, payments, customer communication, projects, and related operations.

This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our websites, web application, and mobile applications (together, the “Services”). By using the Services, you agree to the practices described here.

A note on roles: businesses that subscribe to A2Flows (our “Customers”) use the Services to manage information about their own clients, jobs, and projects. For that business-entered data, the subscribing business is the controller of the information and A2Flows acts as a processor on its behalf. If you are an end customer of a business that uses A2Flows, please direct privacy requests to that business.

1. Information We Collect

Account information.

When you sign up, we collect details such as your name, business name, email address, phone number, role, and login credentials. We also store your team and user-permission settings.

Business and operational data you enter.

The Services exist so businesses can record their work. This includes customer and contact records, service addresses, job and project details, scheduling and dispatch data, estimates, invoices, line items, notes, and similar information your business chooses to enter.

Photos and media.

Technicians and staff may capture or upload photos and other media (for example, before/after job photos or site-condition images) that attach to jobs, estimates, invoices, or projects. On our mobile app, capturing a photo uses your device camera only when you tap to take a photo.

Payment information.

Card payments are processed by our payment provider, Stripe. Full card numbers are entered into Stripe’s secure fields and are handled by Stripe; A2Flows does not store complete card numbers on its own servers. We retain limited transaction metadata (such as amounts, dates, status, and references) needed to show payment history.

SMS and messaging.

When a business sends text messages to its customers through the Services, those messages are delivered using Twilio. We process the phone numbers and message content needed to send, receive, and display these communications.

Mobile information is never shared for marketing. Phone numbers and SMS opt-in consent collected through a text-messaging program are used only to deliver that program’s messages (appointment confirmations, scheduling reminders, and service updates). We do not sell, rent, or share mobile information or SMS opt-in/consent data with third parties or affiliates for their own marketing or promotional purposes. You may opt out at any time by replying STOP, reply HELP for help, or call us at (984) 223-5697. Message frequency varies and message & data rates may apply.

Location and mapping.

Service addresses may be displayed on maps and used for routing using mapping providers such as Google Maps. Where a feature uses device location, it does so only with the permission you grant on your device.

Usage and device data.

Like most online services, we automatically collect technical information such as device type, operating system, browser, IP address, app version, log events, and feature-usage data. This helps us keep the Services secure, reliable, and improving.

2. How We Use Information

We do not sell your personal information, and we do not use the business data you enter for advertising.

3. Third-Party Service Providers

We rely on a small set of trusted providers to run the Services. They process information only to perform services for us and are bound by confidentiality and data-protection obligations:

Each provider maintains its own privacy practices. We may also disclose information if required by law, to protect our rights and safety, or in connection with a business transfer such as a merger or acquisition.

4. Data Retention

We retain account and business data for as long as your account is active and as needed to provide the Services. After an account is closed, we may retain certain information for a limited period to meet legal, accounting, tax, security, and dispute-resolution requirements, after which it is deleted or anonymized. Customers can request export or deletion of their data as described below.

5. Security

We use industry-standard safeguards to protect information, including encryption in transit, access controls, and hosting on reputable cloud infrastructure. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work continuously to protect your data and to address vulnerabilities responsibly.

6. Your Rights and Choices

Depending on your location, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, contact us at the address below. If your information was entered by a business that uses A2Flows, we will refer your request to that business, which controls the data.

You can also manage many settings directly in the app, and you can control device permissions (such as camera and location) through your device settings.

7. Children’s Privacy

The Services are intended for businesses and their staff and are not directed to children under 13 (or the equivalent minimum age in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can delete it.

8. International Users

We operate primarily in the United States, and information we process may be stored and handled in the United States. By using the Services, you understand that your information may be transferred to and processed in the United States and other locations where our providers operate.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice within the Services. Your continued use after an update means you accept the revised policy.
